Who we are

Flowtech Heating Ltd (company number 15466675, registered office 1 Romway Close, Shepshed, Leicestershire, LE12 9DT) is the data controller for the information described in this policy. You can contact us about anything on this page at enquiries@flowtechheating.uk or on 07464 692155.

What we collect and why

We only ask for the information we need to price your job, arrange a visit and keep the required gas safety records. We do not buy personal data from third parties and we do not sell yours.

• Quote and contact forms: your name, phone number, email address, postcode, property type, the service you need and anything you tell us in the message box. We use this to reply to your enquiry and arrange the work.
• Email updates: your email address and, if you give it, your first name. Used only to send the seasonal tips and offers you asked for.
• Work records: the address visited, appliance details and the outcome of any gas work. We are required to keep gas safety records, and we hold job notes so we can honour your workmanship guarantee.
• Site messages: if you use the chat assistant on the site, your messages are stored so the conversation makes sense and so we can follow up on any enquiry.

Our legal basis

• Consent — for email updates and for any optional cookies. You can withdraw consent at any time.
• Contract — to quote for, arrange and carry out work you have asked for, and to invoice it.
• Legal obligation — to keep gas safety and accounting records for the periods the law requires.
• Legitimate interests — to keep records of past jobs so we can support the guarantee on our work.

How long we keep it

Enquiries that do not lead to work are deleted within 12 months. Records of completed work, invoices and gas safety documents are kept for six years, which covers our accounting duties and the guarantee period. Email subscribers stay on the list until they unsubscribe.

Who we share it with

We share the minimum needed to run the business: our website and database hosting provider, the service that sends our emails, and our accountant. Where a landlord or letting agent books work, we share the gas safety certificate with them as the person responsible for the property. We may also share information where the law requires it, for example reporting an unsafe appliance under Gas Safe rules.

Your rights

You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it where we have no legal reason to keep it, object to how we use it, or withdraw consent for marketing emails. Email us and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security

The site is served over an encrypted connection and enquiry details are stored in an access-controlled database. Only the engineer running the business, and our accountant where relevant, can see them.

If we change how we use personal information we will update this page and the date shown above.
